Your organisation’s email security system may have rewritten the citation links inside your Word document:
- Some email security services, such as Check Point, rewrite hyperlinks inside Word attachments to check that they are safe when clicked
- The citations may still link to Lean Library Workspace, but the underlying links have been changed. This can prevent the Word add-in from recognising them as citations
- As a result, the Format citations and bibliography function may not update the citations or add them to the bibliography
To check whether this has happened:
- Hover over one of the affected citations and check the address that appears
- If the address begins with an email security domain such as
protect.checkpoint.com, rather than a direct Lean Library Workspace citation link, it has been rewritten - You can also create a completely blank Word document, insert some new citations using the Lean Library Workspace add-in, and run Format citations and bibliography. Do not copy the citations from the affected document, as this will also copy the rewritten links
- If the new citations format correctly, this confirms that the add-in is working and the problem is limited to the links in the affected document
To resolve the issue:
- Recover a copy of the document from before it was sent as an email attachment. You may be able to find one in OneDrive, SharePoint, Word version history, a local backup, or on the original computer
- Continue working from this unaffected copy and run Format citations and bibliography again
- If an unaffected copy is not available, you may need to remove and reinsert the affected citations using the Lean Library Workspace add-in
To prevent this from happening again, share active Word documents through OneDrive or SharePoint instead of attaching them to emails. You can also ask your IT team to exempt Lean Library Workspace citation links from hyperlink rewriting inside Microsoft Office attachments.
